Operations Manager

To support our continued growth as an organisation we are looking for a part time operations manager to be based in our office and provide support to the team for the safe, efficient and impactful delivery of our grant funded projects & commissioned services.

LINE MANAGER: Emrys Green, Unit Twenty Three Director

RESPONSIBLE FOR: Projects Co-Ordinator and the Projects & Operations Assistant

CONTRACT: Part-Time Employed (We can also consider Self-Employed Freelance)

HOURS: 15 Hours per week.  Ideally worked 9am to 12pm Mon-Friday, but flexibility is available & we can negotiate to complete hours as standard within fewer days.

SALARY: £10 per hour (£19,500 per anum pro-rata)

DEADLINE: Sunday 14th August 2016 at 8pm

INTERVIEWS: Wednesday 17th August at Unit Twenty Three – Times to be confirmed with successfully shortlisted candidates

APPOINTMENT: To start Monday 5th September or earlier (unless current notice period requires longer)

Job description

The Operations Manager will take overall responsibility for the day to day running of Unit Twenty Three, supporting our delivery teams and monitoring our deliverables.  You will be involved in facilitating team meetings, reporting to the board on project status and helping to secure further funds to develop our projects & our capacity as an organisation.

All team members get stuck in to the running of the organisation and there will be opportunities to be involved in our creative direction & delivery.  The role is office based and will suit someone with excellent organisational, administrative and self-management skills.  Indicated areas of involvement / tasks are:

  • Manage Organisational Budget & Financial records
  • Weekly Financial Reconciliations & auditing of project assignments
  • Create & Issue freelance staff contracts
  • Manage relationship with client organisations
  • General Reception Cover
  • Oversee timely & regular funding applications & raising of sponsorship for organisation & projects
  • Weekly staff meeting facilitation (including all staff update circulation)
  • Management of staff timesheets & activity tracking
  • Monthly Project status (spend & activity) & organizational finances report circulated to board
  • Core Fundraising & Income generation through our commissioned service
  • Manage all organizational administration
  • Weekly Pay Runs to freelance staff & suppliers
  • Provide spot-check evaluation of all project delivery (including ensuring all health & safety, child protection & financial policies are being adhered to)

Person specification

  • Experience of managing budgets E
  • Excellent computer skills for using Excel, Word, Powerpoint, Emails and online web applications E
  • Experience of gaining funding within the arts, cultural, heritage sector E
  • Interest in the arts and the wider arts sector E
  • Excellent written and communication skills E
  • Demonstrable administrative experience. E
  • Self-motivated and can work off own initiative E
  • The ability to time manage E
  • Local knowledge of arts organisations D
